The Executive Assistant role is based within Administration & Secretarial.
The role of the Executive Assistant is to provide full administrative and secretarial support to a Senior Leader, through a number of operational and HR, related duties. Support will include, but not be limited to, full diary management, high volume of emails, expenses maintenance administrative paperwork and ensuring team deadlines are met. This role serves as a liaison with others within and outside the business handling activities such as event planning, travel arrangements and project follow up. Your responsibilities will include:
  • Provide high quality email, diary management and travel services to support the effectiveness of the Senior Leader and make sure meetings and committees are organised effectively and in a timely manner.
  • Type and produce reports, Presentations, Spreadsheets etc.
  • Ad hoc projects and tasks
  • Deliver fair outcomes for our customers and ensure own conduct maintains the orderly and transparent operation of financial markets
  • Support achievement of the HSBC vision, Values, goals and culture in personal behaviour, actions and decision making.
  • Take personal responsibility for understanding and agreeing performance expectations, completing the necessary mandatory training and developing the levels of capability and competence needed to be effective in the role.
  • Contribute to team development, effectiveness and success by sharing knowledge and good practice, working collaboratively with others to create a productive, diverse and supportive working environment.
  • Suggest ideas and contribute to implementing actions that will improve customer service, quality or the way teams and individuals work together.
  • Adhere to HSBC policy, procedures and control requirements applicable to day-to-day working, exceptional and project activities, and raise any concerns about actual or potential issues promptly, in line with reporting and escalation procedures.
  • Continuously monitor and gather information to assess potential impacts and identify possible risks and opportunities for the business.
  • Apply policies, procedures, practices and standards to their allocated tasks, taking responsibility for their own actions, to ensure the achievement of high levels of quality, effective risk management and regulatory compliance.

The ideal candidate for this role will have:
  • Experience working within a corporate team environment with multiple stakeholders
  • Past working experience in a relevant role, i.e. Administrative or secretarial role
  • Strong Microsoft Office skills
  • Experience working within Financial Services or other regulated institution environment is desirable but not essential.
  • Experience working with various HR teams
  • Previous experience of delivering an excellent customer service
  • Both spoken and written communication skills with experience of sharing information effectively, in a clear, concise and professional manner
  • Built effective networks both internally and externally and created opportunities for others to work collaboratively
  • Planned projects and activities systematically in line with business priorities, using a variety of analysis and problem solving techniques
The base location for this role is 120 Edmund Street, Birmingham. We are required by the Financial Services (Banking Reform) Act 2013 to create a ring-fenced bank in the UK by 1 January 2019. We will create the head office of our ring-fenced bank in Birmingham. This role may be relocated to Birmingham from 2017. Where the role holder is willing to move and it is practical to do so, the role may relocate before this time.
